1. About the Application

These Terms of Service govern access to and use of Hotpot, an internal analytics and reporting application operated by At-Sunrice. Hotpot includes functionality for retrieving and reporting information from authorised Google Ads accounts.

The Application presents authorised advertising information through internal reports, dashboards and approved business systems. References to the "Application" in these Terms mean Hotpot and its related reporting functionality.

By accessing or using the Application, an authorised user agrees to follow these Terms, applicable At-Sunrice policies and relevant laws and regulations.

2. Eligibility and Authorised Use

The Application may be used only by At-Sunrice employees, approved contractors, approved service providers and other users who have been granted permission by At-Sunrice.

Users may connect or access only Google Ads accounts and other data sources that they are authorised to use on behalf of At-Sunrice. Permission to use the Application does not automatically give a user permission to access every account, report or data source available through it.

Access is personal to each authorised user and may be limited according to the user's role, responsibilities and business requirements.

3. Permitted Use

The Application may be used only for legitimate and authorised internal business purposes, including:

  • advertising performance reporting;
  • campaign monitoring and analysis;
  • advertising cost and conversion analysis;
  • internal dashboards and management reports;
  • marketing planning and budgeting;
  • financial reconciliation and audit support; and
  • troubleshooting, securing and maintaining authorised reporting connections.

Any other use requires prior approval from At-Sunrice.

4. Prohibited Use

Users must not:

  • access or attempt to access an account, report, system or data source without permission;
  • share accounts, passwords, authentication credentials or other security information with unauthorised persons;
  • attempt to bypass access controls, security measures or usage restrictions;
  • use the Application for unlawful, fraudulent, deceptive or misleading purposes;
  • sell, publish, disclose, copy or distribute information obtained through the Application without authorisation;
  • upload, introduce or distribute malicious code or content;
  • interfere with, damage, overload or disrupt the security, performance or operation of the Application;
  • attempt to identify, obtain or misuse another user's authentication or account information;
  • use information from the Application to profile or advertise to individuals without an authorised and lawful purpose; or
  • use the Application in a way that conflicts with Google's applicable terms and policies, At-Sunrice policies or applicable law.

5. Google Services

Some Application functionality depends on third-party services, including Google Ads and Google's authorisation services. Use of those services remains subject to Google's applicable terms, policies and account requirements.

Google may change, restrict, suspend or discontinue its services, permissions or interfaces. At-Sunrice does not control the availability, performance or operation of services provided by Google or other third parties.

Users are responsible for ensuring that any Google account connected to the Application is properly authorised and managed in accordance with At-Sunrice requirements.

6. User Responsibilities

Authorised users are responsible for:

  • protecting their accounts, passwords and authentication information;
  • using only their own assigned account to access the Application;
  • requesting and using only the permissions necessary for their work;
  • connecting only accounts and data sources approved by At-Sunrice;
  • complying with At-Sunrice's security, confidentiality, privacy and data-handling policies;
  • checking important reports and figures before relying on them;
  • reporting suspected unauthorised access, data exposure, errors or security incidents promptly; and
  • notifying At-Sunrice when access is no longer required.

Users must not leave the Application accessible on an unattended or unsecured device.

7. Data Accuracy and Use of Reports

The Application displays information obtained from Google Ads and may apply authorised internal calculations, transformations, classifications or reporting rules.

Although reasonable efforts are made to produce accurate and useful reports, the Application may contain incomplete, delayed, duplicated or incorrect information. Differences may also occur because of reporting time zones, attribution settings, processing delays, account configurations or changes made by third-party services.

Reports generated by the Application are provided as internal business support tools. Users must apply appropriate professional judgement and verify critical figures against the relevant source system before making significant financial, advertising, legal or operational decisions.

8. Availability and Changes to the Application

The Application may be updated, restricted, interrupted, suspended or discontinued when reasonably necessary for operational, maintenance, security, legal or business reasons.

Availability may also be affected by maintenance, network failures, service limits, data-processing delays, third-party outages or changes made by Google or other service providers.

At-Sunrice does not guarantee that the Application will always be available, uninterrupted or free from errors. Where reasonably practicable, users will be informed of significant planned changes or interruptions.

9. Suspension and Termination

At-Sunrice may restrict, suspend or terminate a user's access to the Application when:

  • the user leaves At-Sunrice or completes an authorised engagement;
  • the user's responsibilities or access requirements change;
  • access is no longer required for an authorised business purpose;
  • the user violates these Terms or an applicable At-Sunrice policy;
  • continued access creates or may create a security or privacy risk;
  • the user attempts to access information without permission; or
  • restriction or termination is reasonably necessary for legal, technical, operational or business reasons.

After access is terminated, the user must stop using the Application and must not retain, use or distribute unauthorised copies of At-Sunrice information obtained through it.

Termination of access does not remove obligations relating to confidentiality, intellectual property, data protection or the proper handling of information previously accessed.

10. Intellectual Property and Confidentiality

The Application, its source materials, configurations, interfaces, internal reports and related content belong to At-Sunrice or the relevant licensors, unless otherwise stated.

These Terms do not transfer ownership of the Application or its content to any user. Users receive only a limited, revocable and non-transferable right to use the Application for authorised internal business purposes.

Google Ads information, campaign information, financial information, internal reports and other non-public information accessed through the Application must be treated as confidential At-Sunrice information unless its disclosure has been properly authorised.

Users must not copy, publish, disclose or distribute confidential information except where required for an authorised business purpose and permitted under applicable At-Sunrice policies.

11. Privacy and Data Protection

Personal data and Google user data processed through the Application will be handled in accordance with the Hotpot Privacy Policy, At-Sunrice's applicable data-protection policies and relevant laws.

Users must access and use personal data only when required for an authorised business purpose. Any suspected loss, unauthorised access, disclosure or misuse of personal data must be reported promptly to the appropriate At-Sunrice team.

12. Limitation of Liability

To the extent permitted by applicable law, At-Sunrice will not be responsible for indirect, incidental, special or consequential loss resulting from:

  • temporary unavailability or interruption of the Application;
  • incorrect, incomplete or delayed information from third parties;
  • unauthorised access resulting from a user's failure to protect their account or comply with security requirements;
  • decisions made solely on the basis of automatically generated reports without appropriate verification; or
  • changes, restrictions, outages or discontinuation of third-party services.

Nothing in these Terms limits or excludes any responsibility or liability that cannot lawfully be limited or excluded.

13. Governing Law

These Terms are governed by the laws of Singapore.

Concerns or disputes relating to the Application should first be raised through At-Sunrice's applicable internal procedures. Where a matter cannot be resolved internally, it will be subject to the jurisdiction of the courts of Singapore, unless applicable law requires otherwise.

14. Changes to These Terms

At-Sunrice may update these Terms to reflect changes to the Application, business requirements, security requirements, Google requirements or applicable laws.

The current version will be published with an updated "Last updated" date. Where appropriate, material changes will be communicated to authorised users through the Application, by email or through another approved internal communication channel.

Continued use of the Application after updated Terms take effect means that the user agrees to follow the updated Terms. A user who does not agree with the updated Terms must stop using the Application and notify the appropriate At-Sunrice team.
